OCTOBER HALLOWEEN GALA MEEING MINUTES 10/18/07

EAGLES CLUB – 9:00 AM

Attending: Mike Senate, Jerry Knight, Howard Williamson, and David Smith

A meeting was called at the Eagle Club to discussed the October 25, 2007 Halloween Business Card Exchange. It will be 7:30 pm to 11:00 pm with GBACC and LBA.

Jerry is checking to see if Pat Baker can do the music (yes, she can). Music should be from 8:00 pm to 10:30 pm. We discussed with Sharon the room set up.

Beth VanHoutte has gourds and will check into finding hay and cornstalks. Gloria will contact a local farmer about pumpkins. We will meet at 8:30 am on 10/25/07 to decorate. Come in the side door.

The LBA will supply a large sheet cake for dessert.

Dave Smith will get the auction sheets made up for the silent auction. Jerry will email the participants and request they send their item description and value to Dave.

Howard will check with Gloria to see if there are any bags available for the literature table.

We need to remind GBACC and LBA a table will be available for business literature.

The Eagles Club will take care of the clean up.



OCTOBER HALLOWEEN EVENT MEEING MINUTES 09/12/07

AT THE EAGLES CLUB – 9:00 AM

Attending: Mike Senate, Jerry Knight, Gloria Westerman, Howard Williamson, Dave Smith and Kitty Nalewaik

The meeting was called at the Eagle Club to discussed the October 25, 2007 Halloween Business Card Exchange. It will be 7:30 pm to 11:00 pm with GBACC and LBA.

We met with Sharon Carey, Eagle Secretary, to discuss room set up, refreshments and other details.

There will be a cash bar, prices as follows:

Beer $1.75 to $2.00

Wine – $2.00

Mixed Drinks - $2.00 to $2.75

Soda - $1.00

Food will consist of pick up foods:

Meat Balls, Meat, Cheese and Vegetables Trays, Potato Chips, pretzels, dips etc., Coffee, tea, and water.

Sharon will check to see if GBACC and LBA can supply desserts.

A silent auction with minimum $25.00 value will be set up on the wall next to the entrance. A sign in table will be next to the entrance door. Tables (approximately 15) will be set in a U, around the dance floor with the DJ in the front corner. Literature tables will be set next to the wall facing the bar. We will need an area for the fortuneteller. NOTE: Does anyone have a small colorful tent, which could be used for the fortuneteller?

Decorating can begin by 9:00 am on the day of the event. Sharon will find out if it is permissible to have hay in the building. We will use pumpkins, gourds etc as the primary decoration.

The silent auction will take the place of the Business Card Drawings. We will meet again in early October. Gloria and Jerry will meet to discuss advertising.



GBACC SPECIAL EVENTS COMMITTEE MEETING

August 23, 2007, 9:00 AM @ Beans in the Belfry


Present: Jerry Knight, Beth Van Houtte, David Smith, Kitty and Bob Nalewaik

Call to Order or shall we say started: 9:10 am.

It was agreed the date of the October Halloween Business Card Exchange will be Thursday, October 25, 2007, 7:30 to 11:00 PM. Two locations are being approached to see which will give us the best deal. The Lovettsville Game Association and the Brunswick Eagle Club are being considered. David called the Eagles Club; they are meeting Monday and will consider our request and get back to us.

Buddy Riser cannot do the music. Jerry will ask Pat Baker if she can do it but he will wait until we have a meeting with the LBA to see if they have any other ideas. He will also ask Stauffer Funeral Home if they are interested in sponsoring the event but he can not find out until next week. If they are not interested we will need to find another sponsor. Jerry will ask a Medieval Harpist he knows if he is available to play for thirty or forty-five minutes as people are arriving. Costumes will be requested but not required.

The event will have pick up foods, a bar (cash or sponsored) and will be a reception set up (tables and chairs around the room). A food table, sign in table and tables for member literature will be required. The estimated cost of the food should be about $7.00 per person. Decorations will be another expense.

We will need to set up a Decorating Committee and a Clean Up Committee.

Jerry will email the Lovettsville Business Association (LBA) and see if they are available to meeting Wednesday, August 29th at 9:00 am. He will advise the Special Events Committee.

Other Business:

The annual GBACC Awards Dinner will be Thursday, January 24, 2008 at Hollow Creek Country Club. More action on this event will be taken at a later meeting.

The December Business Card Exchange will be at Stone Manor on December 13th, 6:30 to 8:30 pm. We will invite the Lovettsville Business Association to join us. More action on this event will be taken at a later meeting.



OCTOBER HALLOWEEN EVENT MEEING MINUTES 08/29/07

TALK OF THE TOWN – 9:00 AM

Attending: Mike Senate, Jerry Knight, Gloria Westerman, Howard Williamson, Beth Van Houtte and Bob Nalewaik

The meeting was called to discussed the October 25, 2007 Halloween Business Card Exchange. It will be 7:30 pm to 11:00 pm with GBACC and LBA.

David Smith could not make the meeting so he could not report on what the Eagle Club would provide to have the event. Jerry will call David after the meeting. Howard will check with the Lovettsville Game Association. (David replied to Jerry’s email that the Eagles Club would provide the place, the food and a cash bar, it will be at the Eagles Club).

It was agreed we would contract with the Dan a Medieval Harpist for $75.00 to play from 7:30 pm until 8:15 pm.

Mike will check to see what DJ’s in the Lovettsville area have to offer.

There will be two categories for costume prizes: Best costume and most original costume.

Room set up will be reception style.

Decorations: We try to borrow or get donated the following, hay, pumpkins, gourds, corn stalks. We will need Halloween overlays for the tablecloths, paper plates and napkins.

Food – Gloria and Howard will check to see who is available to prepare the food. (This may not be necessary if the Eagle provide the food). We will check with the Eagles to see if we can contribute to the menu.

Advertising – We will work on more detailed advertising, as the event gets closer. It will go in the GBACC newspapers inserts. Post cards will be sent, it will be announced at the meetings and emails will be sent.

NOTE: We briefly discussed having a GBACC and LBA picnic in June. We will discuss this at a later date.

The next meeting for the October Halloween Business Card Exchange will be September 12th at 9:00 AM in the Brunswick Eagles Club, 401 Central Avenue. (David will confirm the date and time with the Eagles Club).
